Veterinary Receptionist

Job Summary:
Conducts a variety of clerical functions relevant to the operation of a small animal hospital.
Minimum Qualifications:
Knowledge Of:
General office practices and procedures including filing systems; receptionist and telephone techniques.
Ability To:
- Perform clerical work with speed and accuracy;
- Use a multiple line telephone;
- Greet clients graciously and recognize the responsibilities involved in responding to client questions and needs;
- Keep medical records;
- Understand and carry out oral and written directions;
- Proficiently handle all forms of monies;
- Maintain a neat professional appearance;
- Maintain a harmonious and cooperative relationship with coworkers
Education:Equivalent to completion of 12th grade
Experience: At least two years recent experience in general office work with increasing responsibilities and direct customer service.
Recent experience at a veterinary hospital or working with animals preferred.
Specific Duties:
- Receive incoming phone calls and schedules appointments.
- Receive clients as they arrive and establish the purpose of each visit.
- Update the existing medical file or collect sufficient information to prepare a new file.
- Enter charges for each patient visit into the invoicing system (AVIMARK).
- Receive payments for services rendered.
- Answer questions regarding the status of hospitalized animals as directed by the attending D.V.M.
- Prepare vaccine reminder, welcome, and sympathy cards.
- Maintain the appearance of the reception area.
- File medical reports into the appropriate medical records.
- Refill prescriptions in accordance with hospital policies and procedures.
- Educate clients about basic care of pets and deliver to-go-home instructions.
- Prepare the daily posting reports; balance cash, checks, and credit card payments daily; and verify daily deposit.
- Occasionally type letters.
- Other related duties as assigned.
